There are two ways to access this page which are below:

  • More > Getting started > Finance > Invoice settings.
  • More > Settings > Finance > Invoice settings.

Auto Calculation

Select the date you wish to begin your automated billing. For example, I have started to trial Blossom on the 15th August & I am not billing immediately, instead I am exploring the platform’s capabilities. Therefore, I would like to go live from the 1st of September which means my auto calculation will be the 1st September.

  • More > Settings > Finance > Invoice settings > Auto calculation > Edit pencil > Input date > Save.

Default fee Calculation for Sessions

You can choose between actuals or averages.

Actuals: This is also known as calendar monthly. The user is charged for the amount of sessions within the invoice period. For example, January having 31 days and February having 28 days.

Average: Taking a typical weekly session set, multiplying by the amount of weeks in the year and dividing by 12 months.

  • More > Settings > Finance > Invoice settings > Default fee calculation for sessions > Edit pencil > Select Actual sessions or Average over ‘x’ weeks > Save.

Fee calculation for extras: This works exactly the same as above!

  • More > Settings > Finance > Invoice settings > Fee calculation for extras > Edit pencil > Select Actual cost or Average over ‘x’ weeks > Save.

Weeks and days to Average fee & Extra Item Calculation

Here you will set the amount of weeks & days you wish to average your fee calculations over. For example, if you input 51 weeks your fee & extra item calculation will be averaged over 51 weeks. However, if you put 51 weeks & 2 days this will be converted into weeks and then be averaged over that amount of time.

  • More > Settings > Finance > Invoice settings > Weeks and days to average fee & extra item calculation > Edit pencil > Enter weeks and/or days > Save.

Invoice Due Date

This is setting the timeframe between the invoice date & when the invoice is due. For example, if the invoice date is 01/03/2020 & it is due 7 days after the invoice due date would be set to 7 days.

  • More > Settings > Finance > Invoice settings > Invoice due date > Edit pencil > Enter days > Save.

Invoice Display Options

You are able to choose between two different ways which you would like your invoice to be displayed to parents/carers. The options are Grouped item types without cost breakdown & Item types with cost breakdown.

  • More > Settings > Finance > Invoice settings > Invoice level of detail displayed > Edit pencil > Select Grouped item types without cost breakdown or Grouped item types without cost breakdown > Save.

Grouped Item Types Without Cost Breakdown

This option will group each line item into the ‘item type’ categories and only show the overall item type category cost instead of a cost breakdown of each individual line item.

Item Types with Cost Breakdown

This option will show a cost breakdown for each individual line item on the invoice.

For both of these options there are previews in app.

Additional Invoice Notes

These are additional notes you are able to add to your invoice. For example, you could add your registration number or alternatively you are able to add a message that changes each month like ‘Happy Easter’. You are also able to add multiple notes by clicking ‘add another note’.

  • More > Settings > Finance > Invoice settings > Additional invoice notes > Edit pencil > Enter notes > Save.

Additional Statement of Account Notes

Similar to additional invoice notes you are able to add notes to your statement of account. These will be visible when the statement of account is sent to parents or downloaded. Again, you are also able to add multiple notes by click ‘add another note’.

  • More > Settings > Finance > Invoice settings > Additional statement of account notes > Edit Pencil > Add notes > Save.

Automated Payment Reminders to Bill Payers

You are able to set automated payment reminders to bill payers to eliminate the payments from being overdue. For example, you have the option to select the amount of days & whether the reminder should be sent out after or before the invoice due date. You can set multiple payment reminders which will go to all bill payers.

  • More > Settings > Finance > Invoice settings > Automated payment reminders to bill payers > Edit pencil > Enter days & select before or after > Add copy > Save.

Your Bank Details

Here you can enter the most important details for payments, your bank details. These will appear on your invoices under the payment options.

  • More > Settings > Finance > Invoice settings > Your bank details > Edit pencil > Enter bank details > Save.
