Overview of Finance in the Child Profile

The Finance tab within a child’s profile can be accessed by clicking Finance on their page. This section provides an overview of:

  • Bank Details

  • The Child’s Current Plan

  • Notes Added to the Account

  • Total Outstanding Amount

  • Total Billed to Date

  • Creating an Invoice

  • Adding a Payment

  • Viewing Current Invoices or Credit Notes

📌 You can also access the Transactions and Payment History pages via the side tab.

Generate a Child's Invoice

  • Child > Finance > + Invoice > Input invoice title > Select invoice month or the invoice period > Calculate.

📌 The Invoice date & Due date will automatically populate based on your invoice settings, but you can click to change this manually.

Invoice Fields Explained

  • Invoice Title: The name of the invoice (e.g., June 2024).

  • Select Month: Choosing a specific month will automatically set the Start Date and End Date.

  • Start date & end date: Select a custom date range for invoicing (useful for non-monthly invoices).

📌 For automated average fee and funding calculations to work correctly, select a full month period using the Select Month option.

  • Invoice number: Automatically generated based on invoice settings but can be manually edited.

  • Invoice date: Defaults to the current date but can be manually adjusted.

  • Due date: Determined by pre-set invoice settings (e.g. If set to 6 days, the due date will be 6 days after the invoice date).

  • Calculate: Clicking this button generates invoice line items based on the child’s profile, considering factors like:

    • Booking patterns

    • Funding allocations

    • Extra items

    • Discounts

    • Additional sessions

📌Once calculated, individual line items can be manually added by clicking ‘add line item’.
