Emergency Contacts List
This report generates a detailed list of all contacts for every child within the nursery.
More > Children reports > Emergency Contacts List > Select a group or all children > Select a manager or administrator to send to > Tick the parental responsibility box > Download.
Once you have clicked download, an email will arrive in the selected manager or administrator's email inbox with the report attached.
📌Top Tip: If you cannot view the whole address or whole contact name, your document may require slight formatting (i.e. expanding the cells).
Key Person List
To view a list of each staff member's key children:
More > Children Reports > Key Person Lists > Select key person from the drop down > Export.
You can export this list, as well: 3 dots > Export.
📌Top tip: You can select 'Unassigned' in the key person drop down - you can tell at a glance which children need to have a key person assigned!
Add a child's key person
Children > select child > Enrolment details (Edit) > Key person: select one or more.
Children Signed Up, Children Starting & Children Leaving
These two reports show which children will soon be starting and leaving your setting. You can filter by date, room and age for a more detailed breakdown. This report cannot be exported.
More > Children Reports > Children starting or Children leaving > Filter by date range > Filter by room > Filter by age.
Total Starters/Leavers: This figure is based on the child's start/leave date within their profile as opposed to their booking pattern start/leave date.
Total FTE (Full-time Equivalent): This is based upon the total opening hours of the individual settings versus the total hours of session time used.
Total Weekly Fee: This is based on an actual calculation in relation to the first/last week of their latest booking pattern.
Dietary Preferences & Allergies
The dietary preferences report allows you to filter and identify which children have certain allergies and dietary preferences. This can be exported by clicking the 3 dots in the top right corner, which may be useful for your nursery chef.

📌Top tip: Click on the interactive preferences/allergies bar above to narrow down your search. For example, If you select 'vegetarian' and 'vegan', you will only see the children with those preferences.
Photo Permissions
This report will show you an overview of all children's photo permissions. These are pulled from your children's profiles and can be exported.
More > Children Reports > Photo Permissions Report.
If the box has a tick, it means they are allowed to have this specific photo permission.
Monthly FTE Change
This will show you your full time equivalent (FTE) percentage change during each month of the year selected.
More > Children Reports > Monthly FTE Change.
Starters (FTE) + Existing children (FTE increase) = Net FTE change
How is the FTE% calculated?
Calculate the open days within a month & open hours per day.
ex> July - 23 open days multiplied by 10 hours per day (23x10=230).
Total open hours x room capacity = total hours available in the room.
ex> 8 children in the room (230 hours x 8 =1840 hours).
Look at children’s individual booking patterns & work out hours per week & specific days.
ex> Child 1: Mon AM (5) & Wed FD (10), Child 2: Mon FD (10) & Tues FD (10), Child 3: Mon FD (10) & Tues FD (10). Therefore, 230 hours are occupied.
Total hours occupied / total hours available in the room.
ex> 230/1840 = 0.125
0.125 multiplied by 100 = 12.5.
Nursery Milk Report
The nursery milk report allows you to generate, export, and download a report for your free milk claims based on the children's register:
More > Children reports > Nursery milk report
You can send the export to the nursery milk gateway to claim your free milk for the children who attended the nursery.
You can choose the month, input the unit price (£0.00), and the number of units per child. The report will automatically calculate how many children were in attendance and total cost of milk for that month.
Below, you will see a further breakdown of each day.
📌Top tip: The report can be pulled for all previous months as well as the current month you’re in. However, you are unable to generate the report for future months as it is based on the children marked in attendance.
