Weekly Occupancy Reports
The Weekly Occupancy Report provides a deep analysis of your nursery’s expected and actual numbers to give you accurate data for better decision-making.

Below, you will see three tick boxes with the following functions.
Absences (Default off): You will see children who have been marked as absent on your register.
Holidays (Default on): You will see children who have been marked as on holiday on the register.
Extra Sessions (Default on): You will see children who have booked extra sessions within the child profile or on the register.
When selecting all options, you will see the table below.
Click the grey arrow next to 'Children' on the top row to open or close the attendance details.
Children
This is the number of children who are expected at nursery with all holidays, absences and extra sessions taken into consideration. This number is based on scheduled room moves (More > Rooms > Room moves).
To see which specific children are due in, click the grey arrow to open up the drop-down! The report shows which children are present, absent, on holiday or have extra sessions booked.
Predicted
This is the number of children who were due to be in nursery according to their regular booking pattern sessions. Holidays, absences and extra sessions are excluded.
Holidays, Absences and Extra Sessions
This is the amount of children on holiday, absent or attending an extra session on any given day.
Full-Time Equivalent (FTE) Percentage
FTE percentages are calculated based on children’s regular booking pattern session sets and do not factor in extra sessions, holidays and absences.
How is the FTE % calculated?
Total opening hours in 1 week x Room capacity = Total available hours
Opening hours in 1 week: 8am - 6pm = 10 hours
10 hours x 5 days open in 1 week = 50 hours = 1 FTE
Room capacity = 10 children
50 x 10 = 500 total available hours
I have 5 children attending full-time (50 hours per week)
Total hours used = 50 hours x 5 children = 250 hours.
The percentage difference between total available hours (500) and total hours used (250) is calculated as follows:
(500-250) / 500 x 100
FTE = 50%
FAQs:
My occupancy is missing data. What can I do?
Check to see whether your default room moves have been set up!
More > Rooms > Default Room Moves.
Top tip: Once your default room moves have been set up correctly a tick will appear across the top instead of a cross.
For term-time children, check that your Term Time attendance period has been set up with accurate dates.
More > Settings > Attendance periods > Term Time: Set Term Dates.
