Learn how to access Blossom's Monthly & Yearly Occupancy Reports and discover how it's calculated so you can better analyse the results.

The monthly & yearly occupancy reports provide you with a full-time equivalent (FTE%) breakdown for each month across the year. These percentages are calculated based on the children’s session sets within their booking patterns & do not factor in extra sessions, holidays and absences.

  • More > Occupancy > Occupancy Report > Type of report: Monthly or Yearly > Select Date > Filter by room or leave blank for all rooms > Generate.

Once the report has been generated, you will see a bar graph (above) which shows the FTE% for the following:

  • Monthly view: each week within the month selected

  • Yearly view: each month within the year selected

📌Top tip 1: You can hover over each week/month & a bubble will be displayed with the month & FTE%.

📌Top tip 2: You can use the arrows either side of the bar graph to view the previous or future months/years & the FTE % will adjust accordingly!

📌Top tip 3: You can click the filters icon to edit any filters for the report!

Below the graph, a complete breakdown will be displayed for each room you have chosen to filter for.


How is the FTE% calculated?

FTE percentages are calculated based on children’s regular booking pattern session sets and do not factor in extra sessions, holidays and absences.

How is the FTE % calculated?

  • Total opening hours in 1 week x Room capacity = Total available hours

    • Opening hours in 1 week: 8am - 6pm = 10 hours

      10 hours x 5 days open in 1 week = 50 hours = 1 FTE

    • Room capacity = 10 children

    • 50 x 10 = 500 total available hours

  • I have 5 children attending full-time (50 hours per week)

  • Total hours used = 50 hours x 5 children = 250 hours.

The percentage difference between total available hours (500) and total hours used (250) is calculated as follows:

  • (500-250) / 500 x 100

  • FTE = 50%

🌟FTE% is rounded to the nearest whole figure.


FAQs:

My occupancy is missing data. What can I do?

  • Check to see whether your default room moves have been set up!

    • More > Rooms > Default Room Moves.

    • Top tip: Once your default room moves have been set up correctly a tick will appear across the top instead of a cross.

  • For term-time children, check that your Term Time attendance period has been set up with accurate dates.

    • More > Settings > Attendance periods > Term Time: Set Term Dates.

  • Now head back over to your occupancy report & see the visible data!
