Emergency Contacts List

This report generates a detailed list of all contacts for every child within the nursery. Upon selecting it, you will be prompted to fill in which contacts you wish to export and whom it will be sent too.

More > Reports > Emergency Contact List > Select a group or all children > Select a manager or administrator to send too > Tick the parental responsibility box if you wish > Download.

You will be asked to select a group or all children, select a manager or administrator to send the export to & select whether you would like to have contacts with parental responsibility or not.

Parental responsibility selection box: If this is ticked, you will only receive the parents that have been selected as parental responsibility in the children's contact profile.

Once you have clicked download, an email will arrive in the selected manager or administrators email inbox with the report attached.

TOP TIP: If you cannot view the whole address, or whole contact name your document may require slight formatting. Such as stretching the cells & editing the format.

Key Person List

To use the Key Person List, simply select a staff member from the dropdown at the top of the report, and a list of children who are their key children will automatically appear!

More > Reports > Key Person Lists > Select key person from the drop down > Export.

When clicking export you are required to select who you want to download the key person list for or for all key people, select a manager or administrator to send the list to & simply click export. The report will then arrive in the selected person’s inbox.

Top tip: You are able to select unassigned in the key person drop down, this means at quick view you can tell which children need to have a key person assigned!

Leavers & Starters

These two reports have similar functions. They exist to tell you which children will soon be starting and leaving your setting. You can filter by date, room and age for a more detailed breakdown of this report, and export as a PDF for a permanent copy.

More > Reports > Starters or Leavers > Filter by date range > Filter by room > Filter by age > Click export > Select manager or administrator > Export.

Top tip: If you click the ‘x’ in the end date box it will make all children's leave & start dates visible!

Dietary Preferences & Allergies

The dietary preferences report shows a list of all children and allows you to filter and export reports which identify certain allergies and preferences.

More > Reports > Dietary Preferences & Allergies

The report will display the following, the childs name, children’s session sets, any allergies & lastly their dietary preference.

Top tip: This information is all reflective of the information recorded in the child’s about profile.

Filters on the dietary preferences & allergies:

All Rooms: This allows you to filter by all rooms or a specific room.

All children: The report automatically defaults to all children however you can change this to children due in. This means only children due in will appear.

Interactive dietary preference bar: The report defaults to all children's preferences. This bar allows you to narrow down the search. For example, if you click no preference, you will only see children with no preference.

Top tip: Remember! If you click children with no preference & then want to view children who are vegetarian you will need to unclick the no preference selection. Otherwise, you will view both!

Exporting the dietary preferences & allergies report:

More > Reports > Dietary Preferences & Allergies > Export > Select staff member > Select report type > Select the children to show > Export.

Select report type: You are able to choose between two reports, allergies & dietary preferences or just a report showing allergies.

Show: You are able to choose between all children or only children with allergies and preferences.

Why would I need to export a dietary & allergies report?

  • This is a very useful document for your nursery chef, it allows them to have a copy of all the dietary requirements within the nursery!

Photo Permissions

This report will show you an overview of your children and their photo permissions. The photo permissions are pulled from your children's profiles and can be exported.

Click More > Reports > Photo Permissions Report.

On this report, you are able to filter by all rooms or specific rooms & the children’s age or all ages. Once filtered the report will display the following:

  • Child’s name

  • Child’s date of birth & age in months

  • Photo permission

  • Group photo permission

  • Share on social media

  • Share on other marketing material

Top tip: if the box has a tick it means they are allowed to have this specific photo permission if it does not their photo is not allowed to be on this specific permission.

Exporting the photo permission report:

Click More > Reports > Photo Permissions Report > Export > Select manager or administrator > Export.

Once exported, you can access the report in the mailbox of the specific person selected.
