Staff Access Levels and Permissions
There are several staff access permissions to choose from, and only one can be assigned to any given staff member, though several members of staff can have the same permission level. They are:
Group Level
Director
National Admin
Finance Admin
Area Manager
Nursery Level
Manager
Nursery Administrator
Deputy Manager
Room Leader
Senior Practitioner
Practitioner
Register-only Staff
Here are those explained in more detail - every role can view the staff register, their own profile and their own contracts.
Group-level permissions
These are the permissions given to roles in the head office, overseeing several settings.
Director
As a group-level role, Directors can't set up individual nurseries with sessions, invoices, extra items etc, but they can edit and create staff leave, nursery files, extra sessions, messenger and enquiry settings, and everything related to finance, which can only also be seen by the Finance Admin at group level.
After that, Directors can access everything.
National Admin
National Admins can access almost everything Directors can, except for finance-related features.
Finance Admin
Finance Admin is similar to the Director in level of access, though they can't see the child diary, manage or view Next Steps, view or manage accidents/incidents, or make observations/formative reports. They also can't edit anything to do with rooms, though they can pull numerous reports and access enquiries.
Area Manager
The last of the group-level roles, Area Managers are virtually identical to National Admins, the only difference being they can access finance reports.
Nursery-level permissions
These are the roles and permissions available to those working in individual settings. At this level, staff have the option to clock in, which is unavailable for group-level staff.
Manager
Managers, along with Nursery Administrators, are the only ones who can view, add and edit: sessions, invoice settings, extra items, payment methods, and term dates. Beyond that, Managers can do almost everything in Blossom other than send things for approval (because they can self-approve).
They're also the only ones at nursery level who can view finance reports.
Nursery Administrator
The level of access for Nursery Administrators is very similar to Managers, though they cannot view access logs or finance reports.
Deputy Manager
Deputy Managers have permissions related to their day-to-day operations, so there's a distinct drop in the number of things they can edit that are fundamental to the nursery's setup. They can view and edit enquiries as those could happen on their duty days, and are the lowest role that can.
They can only edit staff profiles for themselves and the roles below, though they can see all staff logged in your Blossom system. They cannot see all the details however, only those below them in the hierarchy (the order listed on this page). They also can't see the worklog or edit the rota.
Deputy Managers can edit everything related to the child profile, and they are the lowest permission level that can add and archive children. They are also the last that can edit booking patterns, though they can't change invoicing or settings related to funding.
Last but not least, they can authorise devices and pull lots of reports, as well as edit rooms and moves - the lowest role that can do so.
Room Leader
Permissions drop further for Room Leaders, with only a few items separating them from others lower on the hierarchy. They can edit children's profile information (which practitioners cannot), as well as view and add files of all children - for those below it's only their key children they can affect. This includes contact information, which they're the lowest that can continue to add and edit.
Room Leaders can't add extra sessions with invoicing on, or download a printable register. Their permissions are related to being the most senior in a room, so they're the lowest that can delete all observations - an important responsibility! This also carries to approving others' observations and accident/incident records, as Practitioners and below must send them for approval.
Senior Practitioner
Senior Practitioner permissions are further reduced, being almost identical to Practitioners aside from being able to approve their own observations.
Practitioner
The role of Practitioners is keeping children safe as well as recorded and knowing them well, so their permissions are all related to logging moments and viewing child profile info without being able to edit it.
They can't edit the work of others once it's been approved and the data they can view is limited, but they can still see their key children as well as the allergies and dietary requirements of all children though they can't export them. This includes contact info in case of emergencies, but they can't edit those contacts.
Practitioners can view sessions so they know who's going to be in and when, but they can't edit any part of the child booking pattern.
Register-only Staff
As you might expect, as the lowest role in the hierarchy with a role that says 'register only', Register-only Staff can only use the Staff register. They can only see data related to them and their key children if they have any, but that's the extent of their permissions.
