Weekly Occupancy Reports

The Weekly Occupancy Report provides a deep analysis of your nursery’s expected and actual numbers. We have a variety of filter options to give you accurate data for better decision-making.

Click More > Occupancy > Occupancy Report > Weekly

Here you will see three tick boxes with the following functions.

Absences (Default off)

You will see the children who have been marked as absent on your register.

Holidays (Default on)

You will see children who have been marked as on holiday on the register.

Extra Sessions (Default on)

You will see children who have booked extra sessions within the child profile or on the register.

When selecting all options you will see the table below. Let’s show you through each row.

Click the arrow on the top row to open or close the attendance details.

Children

This is the number of children who are expected into nursery with all holidays, absences and extra sessions taken into consideration. This number is based on scheduled room moves, meaning that room moves do not need to be confirmed for the children to display.

Predicted

This is the number of children who were due to be in nursery with holidays, absences and extra sessions excluded.

Holidays, Absences and Extra Sessions

This is the amount of children on holiday, absent or attending an extra session on any given day.

Children Dropdown

For a detailed view, click the arrow to open up the drop-down! The report shows which children are present, absent, on holiday or have extra sessions booked.

Here you can see which children are present, absent, on holiday and have extra sessions, all represented by different icons.

The tick icon shows present children and the times of their session sets.

The + icon is displayed when a child has an extra session booked in and the time they are expected in and out of nursery.

The thermometer icon shows when a child is absent from your nursery due to sickness.

The sun icon is shown when a child is away on holiday.

FTE Percentage

FTE percentages are calculated based on children’s session sets and do not factor in extra sessions, holidays and absences.

How is the FTE % calculated I hear you say?

Total opening hours in 1 week x room capacity = total hours available

Percentage difference between total hours available and total hours used

Example:

8am - 6pm = 10 hours

10 hours x 5 days open in 1 week = 50

50 hours = 1 FTE

The Baby Room has a Capacity of 10.

50 hours x 10 children = 500 hours.

I have 5 children attending full-time (50 hours per week)

50 hours x 5 children = 250 hours.

The percentage difference between total available hours (500) and total hours used (250) is 50%

My FTE % is 50%
