Enquiries | Managing & Updating

On the Blossom Enquiries list, you can see all your enquiries. New enquiries will be highlighted with a blue dot.

Enquiries List

On the Enquiries list, you will be able to see all enquiries made through the website and manually input enquiries.

  • More > Enquiries

You can manage your enquiries by using the filters:

  • Enquiry Date

  • Desired Start Date

  • Enquiry Status

    • Including New enquiry, Not reached, Awaiting viewing, Contact undecided, No spaces available, Enrolled or Lost enquiry.

    • You can customise these statuses and add your own statuses in your enquiry settings.

  • Viewings

    • Booked or Not booked

    • All viewings are available to see on your viewings calendar, and Blossomboard widget.


Updating an Enquiry

Click into each enquiry to manage the above fields, and log all communication with that enquiry.

The Activities section below details all notes, emails, phone calls and viewings that have been logged with that enquiry in a timeline format.

When managing your enquiries you are able to add personalised notes, log emails and calls. This will enable nurseries to keep a good record of information.

Add a note

  • More > Enquiries > Click into the specific enquiry > Click add note > Input the date & time > Type the notes > Click save notes.

Add an email

  • More > Enquiries > Click into the specific enquiry > Click log email > Input the date & time > Type the email or copy and paste your email > Click log email.

  • Note: Emails cannot be sent through Blossom to enquiries. The 'News' feature is available for contacting families of already enrolled children.

Add a call

  • More > Enquiries > Click into the specific enquiry > Click log phone call > Input the date & time > Type the notes from the phone call > Click log phone call.

Add a viewing

  • More > Enquiries > Click into the specific enquiry > Click log viewing > Input the viewing date & time > Input the specific staff member that will lead the viewing > Update the status to 'booked'.

  • Further updates to each viewing can be managed on your Viewings tab.


Enrolling a child

On Blossom, you can enrol a child from your Enquiries list to your current Children list.

Enrolling a child can be completed in a few simple steps:

  • More > Enquiries > Enquiries List > Click into the specific enquiry > Click Enrol Child > A pop up will appear asking you to confirm > Select 'Mark as Enrolled' or 'Enrol'.

What happens if I select 'Enrol'?

  • Once you have clicked 'Enrol', it will automatically take you to the page to add a new child. When the child has been added, the enquiry status will change to 'Enrolled' and in the top right corner it will present a link to the child profile.

Top tip: If the child is not yet due to start, you may wish to archive them until their start date.

What happens if I select 'Mark as Enrolled'?

  • The enquiry will be hidden from the enquiry list. This is to ensure the list is kept neat and the enquiry can then be found when using the status filter.

Top tip: This will also happen when changing the status of an enquiry to 'Lost' or 'No Space Available'.


Exporting Enquiries

Nurseries may wish to export some of the enquiries. To export enquiries simply follow these simple steps.

  • More > Enquiries > 3 dots in top right corner > Export > select the member of staff you wish to export the report to > select the date range of the enquiries you wish to export > Export.

Once this is exported, you will receive a CSV file to your chosen member of staff's email address.
